Invoice Page Manual

The Invoice Page enables users to create, manage, and track invoices efficiently. Whether issuing or receiving invoices, this system ensures transaction clarity and accountability.

1. Features of the System

  • Create Invoices: Generate structured invoices with key transaction details.

  • Filter Invoices: Locate specific invoices based on custom criteria.

  • Track Invoice Status: View status updates like Draft or Posted.

2. How to Create an Invoice

  1. Customer Selection: Choose an existing customer from the dropdown or add a new one.

  2. Reference Number: Pick from a list or manually input a reference number.

  3. Currency: Select currency type and enter the amount.

  4. Key Dates: Define the Transaction Date and Due Date.

Add items by selecting from the database or defining new ones. Columns include:

  • Item: Product/service name

  • Unit: Unit of measure (e.g., pcs)

  • Price: Price per unit

  • Quantity: Amount to bill

  • Final Price: Auto-calculated total

  • Taxes: Rate applied

  • Tax Value: Total tax amount

  • Price Includes Tax: Whether tax is already included

At the bottom, the system calculates:

  • Total: Sum of item prices

  • Total Taxes: Combined tax amount

  • Grand Total: Final total including tax

3. How to Filter Invoices

  1. Go to the 'Invoices' section.

  2. Use the filter bar to specify invoice number, date range, or status.

  3. Click Search to apply filters.

4. How to Manage Invoice Status

  1. Check the Status column for each invoice.

  2. InPayment: In progress, editable.

  3. Posted: Finalized, not editable.

  4. Select an invoice and change its status as needed.

5. Navigating Through Entries

  1. Use the pagination toolbar at the bottom.

  2. Adjust how many records display per page (default is 5).

  • Q: How can I delete multiple invoices? A: Select the desired entries and click Delete Selected.

  • Q: What happens when I post an invoice? A: The invoice becomes locked and non-editable.

7. Troubleshooting & Support

  • Problem: Can’t create/edit invoice. Solution: Ensure all required fields are filled. Contact support if needed.

  • Problem: Filters return no results. Solution: Recheck filter conditions and ensure relevant data exists.
