📄 Request for Quotations (RFQs)
The RFQ page allows you to manage quotation requests for materials, services, or labor efficiently. It helps teams create, track, and review quotation details tied to customer projects.
📋 RFQ List Overview
Record Fields
- Number: Auto-generated unique identifier.
- Reference Number: Optional project or external reference.
- Date: Creation date of the RFQ.
- Status: Current status (e.g., Draft, Submitted).
- Current Step: Workflow step the RFQ is currently in.

- Entries per Page: Set the number of visible rows (default: 5).
- Pagination: Navigate between multiple pages.
- Delete Selected: Remove unwanted RFQs by selecting them from the list.

🛠 Creating an RFQ
Form Fields
- RFQ Number: Automatically generated (e.g., RFQ/2025/4/00004).
- Date: Defaults to today's date.
- Customer: Select from existing customers or create new.
- Reference Number: Optional external reference ID.
- Customer Representative: Contact person name.
- RFQ Name: Internal title of the RFQ.
- Ownership: Person or team responsible.
- RFQ Date / Due Date: Issue and response dates.
Adding Items to RFQ
- From Template: Load items from saved templates.
- From Catalog: Select predefined items.
- Manual Entry: Add custom item lines.
- Reference Import: Pull items from selected reference.
- Excel Import: Upload items using Excel (download template first).
Actions
- Save: Save the draft without submitting.
- Submit: Proceed with the RFQ workflow.

🔍 Filtering RFQs
Use filters to narrow your results and locate specific RFQs:
- Number
- Reference Number
- Date Range
- Project
- Location
- Customer
After setting criteria, click Search. Use Clear to reset filters.

- Use templates for faster item entry.
- Be careful when deleting records — it's irreversible.
❓ FAQs
Can I edit submitted RFQs?
No. Once submitted, RFQs are locked and move through the workflow process.
What happens if I forget to fill a field?
Mandatory fields will be highlighted. You must complete them before submission.
Can I export RFQs?
Yes. Use the export option (if enabled by admin) to download RFQs as Excel or PDF.
